KEY RESPONSIBILITIES (JOB SUMMARY)

ArtsWave’ s Director of IT will serve as a key member of the Operations team, helping to ensure ArtsWave’s technology infrastructure continues to have the capacity and resilience to successfully conduct the Annual ArtsWave Community Campaign as well as normal business operations year around. This position reports to the COO.

 

Your main responsibility will be the setup, and execution of the workplace giving technology and related process as the systems at ArtsWave are the driver for this process.  The position also manages and supports large IT projects not necessarily tied to the annual community campaign.

 

The role is a hands-on IT leadership position, requiring working knowledge of relational databases, networking, web applications, cloud storage, Office 365 administration, SharePoint, Email, Cyber Security, VOIP communications systems, WIFI, personal computers, business application software, security systems and physical security, domain and DNS management, AV equipment, active directory, business intelligence and report writing.   Candidates coming from an application background should be open to learning about these processes to offer project management and front-line support-although this will not be the majority of your role.

 

 

IT Leadership

  • Maintain the ArtsWave technology plan and facilitate meetings with Executives.  Make recommendations and facilitate projects to keep ArtsWave on current supportable technology and look for opportunities for Technology to better support fundraising efforts.
  • Overall responsibility for all IT/Data department employees: hiring, coaching, and development.
  • Update the IT budget annually per accepted accounting practices and maintain it throughout the year through periodic meetings with the accounting department.
  • Serve as the ArtsWave project manager for all major IT projects.  Serve as the ArtsWave project manager on special projects when requested by the CEO or COO

 

Applications

  • Overall responsibility for the success of workplace giving portal campaigns.
  • Work with Application vendor (StratusLIVE) to setup all software application templates and other customizations.
  • Work with corporate clients to define and setup campaign portals, details, and employee files.
  • Use ETL/Excel skills to prepare, cleanse and import data from corporate partners.  Maintain clean and accurate employee and donor files.
  • Test all changes and updates to ensure accuracy of data, automation, and workflow processes.
  • Ensure all campaigns run smoothly.  Address any issues as they arise.
  • Provide workplace campaign and other related reporting.
  • Work with StratusLIVE support as needed, troubleshoot issues.
  • Administer security roles and deactivate users as needed in a timely manner.
  • Work with StratusLIVE and Click Dimensions on upgrades and keep staff updated on changes and any outages.
  • Conduct quarterly business review meetings with StratusLIVE.

 

Infrastructure

  • Serve as the primary IT purchasing agent for hardware, software, and related infrastructure.
  • Set up staff laptops and other technology in partnership with MSP, provide general IT support in conjunction with IT service provider.
  • Maintain infrastructure vendor relationships (MSP, Phone system, etc.), serving as the main point contact for project requests, issue resolution, contract negotiation, major upgrade impact assessment and testing.
  • Administer phone system, including adding new users, changing hunt groups, and maintaining general mailbox voice mail messages.
  • Represent ArtsWave’s concerns with web and cloud software vendors. This includes project management, evaluating vendors and projects, contract review, addressing security concerns and addressing processing concerns.
  • Responsible for keeping ArtsWave’s disaster recovery plan up to date and testing components that are possible to test.
  • Assist with building security and other building needs when requested

 

IDEAL CANDIDATE QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree or equivalent work experience
  • 5 – 10 years of experience, including working with hardware, databases, applications.
  • Strong office 365 and SharePoint admin skills and ability to troubleshoot issues with Microsoft applications.
  • Experience with donor management / fundraising software applications
  • Excellent communication and presentation skills, including the ability to articulate complex plans and provide details related to complex situations in a way that is easy to understand
  • Willingness to work hands on to setup and support a large percentage of workplace giving portals each campaign season
  • Experience reviewing and negotiating contracts and managing vendors
  • Experience creating and maintaining a budget
  • Experience managing small IT teams
