WHAT YOU’LL BE DOING
Our client is a large manufacturing company with sites across North America. The role of the Executive Assistant is to enhance the President and CEO’s effectiveness in the organization through time management, information management support and consistent oversight of processes. This newly created role is located at the corporate office in West Chester, Ohio and is onsite every day with occasional flexibility to work from home on an as needed basis. There will be infrequent travel to Board meetings and other company meetings.
The Executive Assistant must have flexibility to integrate seamlessly into diverse communication flows and the capacity to effectively prioritize critical tasks. A keen eye for detail, a commitment to quality and consistency, composure under pressure, and a positive outlook are paramount. You will also:
- Function as the primary point of contact for the President and CEO, managing and prioritizing communications, inquiries, and meeting requests.
- Coordinate and maintain the President and CEO’s calendar, ensuring all appointments, meetings, events, and travel arrangements are scheduled and confirmed. Provide similar support to other leadership team members as needed.
- Compile, review, and edit various documents, reports, and communications including Executive Leadership Team presentations, recording and distribution of minutes, meeting agendas, and correspondence, ensuring accuracy and consistency.
- Conduct research and gather information on relevant topics as needed by the President and CEO, presenting findings in a clear and concise manner.
- Manage and track expenses, processing expense reports and ensuring timely reimbursement.
- Identify and recognize employee and customer milestones (birthdays, holidays, safety, or record accomplishments, etc.)
- Play a key role in event planning. Research event-related options (venue, location, catering) and assist with preparing budget proposals, communication pieces, and oversee event logistics (coordinate numerous vendors, entertainment).
- Prepare conference rooms for in-person meetings which include technology set-up and clean-up of conference rooms.
- Collaborate with various departments to ensure the President and CEO has all the necessary resources and materials for meetings and events.
- Maintain strict confidentiality and discretion while handling sensitive information and data.
IDEAL CANDIDATE QUALIFICATIONS AND EXPERIENCE
- Minimum 10 years’ professional experience working with a C-Suite executive and management team with highly demanding schedules
- Experience working with corporate boards is a must
- Proficiency with the suite of Microsoft office systems particularly PowerPoint
- Experience in managing meeting room technologies
- Experience in the consolidation of multiple presentations for one meeting
